Paste a Class List, Then Clean It Up: Faster Roster Setup in KiwiBee

Teacher sorting a pasted class list into clean student roster rows

A copied class list is rarely ready for enrollment exactly as it arrives. It may contain commas, extra spaces, blank lines, multi-part surnames, or names ordered differently from the form a school expects. KiwiBee provides an authorized add-many flow that turns pasted text into reviewable student rows before any accounts are created. This is a preparation aid, not automatic truth: the teacher or administrator still checks every row, and access depends on role, class authority, organization configuration, class capacity, and enabled modules.

Paste the source list without treating it as final

The paste step accepts names separated by line breaks or commas. Empty entries are ignored, surrounding whitespace is trimmed, and internal spaces are normalized when the batch is prepared. Each non-empty entry becomes a proposed given-name and family-name pair. The initial split follows documented parsing rules, so it is a starting point for review rather than a claim about a learner’s identity.

Clean each parsed row on the review screen

Selecting Next opens a preview instead of writing immediately. Every proposed learner appears as an editable row. The reviewer can correct spelling, adjust a multi-word name, swap one row’s given and family names, or swap all rows when the source list uses the opposite order. Confirmation remains unavailable if the batch is empty, exceeds the current limit, or any row lacks a given name.

This workflow does not promise that every pasted name is unique or correctly interpreted. Compare the preview with the authoritative class list, resolve possible duplicates through the permitted school process, and avoid exposing real learner data in public screenshots or shared documents.

Submit the authorized batch and handle results

The server rechecks session-bound permission for the selected class and enforces capacity during provisioning. Rows are processed independently. Successful accounts and enrollments remain successful even when another row fails; failed rows return with their error messages so the reviewer can correct and retry only those rows. Temporary credentials may be shown for genuinely created accounts and should be shared privately.

  1. Open the permitted student-add flow for the intended class.
  2. Paste the source names, using one line or comma-separated entries.
  3. Move to Preview and compare the parsed rows with the source.
  4. Correct spelling and use row-level or batch name swapping when appropriate.
  5. Confirm only after the class, row count, and every given name are correct.
  6. Review the result, share new credentials privately, and retry only failed rows.

The useful safeguard is the pause between paste and provision: the list becomes editable evidence for a human decision, while authorization and capacity remain server-controlled. Check that the selected class is the intended destination. Keep the source list available during review. Treat parsed name boundaries as suggestions to verify.
