A date alone is not enough to identify a school attendance register. A class may meet twice on the same day, use a cover teacher for one period, or have different scheduled rooms. Class occurrence attendance tracking connects the register to the exact scheduled session rather than assuming that “class plus date” is unique.

Start from the scheduled occurrence

In ClassSpark, the teacher reaches attendance through the relevant item in Today’s Schedule. The schedule provides the exact class occurrence, including the assigned staff and time context. This avoids creating an unrelated ad-hoc session and helps separate two lessons that happen to share a class and calendar date.

The approach also supports clear permissions. The exact scheduled teacher, assistant, or recorded cover can receive the appropriate ability to take attendance, while another linked teacher may have read-only access. Actual access still depends on the school’s role and schedule configuration.

Complete the whole register

When a register opens, students begin as unrecorded. The teacher marks each rostered student Present, Late, or Absent, with an optional arrival detail or note where relevant. Saving is blocked while any rostered student remains unrecorded. This makes an incomplete register visible instead of quietly treating untouched names as present.

ClassSpark attendance is not biometric, location-based, or fully automatic. The system does not infer presence from a device. Correct records with a reason

Schools sometimes need to correct attendance after the initial save. The documented correction workflow requires a reason and keeps a revision history showing who changed the register, when it changed, and the student-level differences. The latest state can therefore be understood alongside its history instead of silently replacing the original entry.

A sound operational routine is simple:

  1. Open the exact lesson from Today’s Schedule.
  2. Confirm the class, time, and roster before marking anyone.
  3. Record a status for every rostered student.
  4. Add relevant late-arrival detail or notes.
  5. Save the complete register.
  6. If a correction is necessary, explain it accurately and review the resulting history.

Leaders can strengthen the process by defining who is expected to take each register and how late information should be corrected. The software records the occurrence and revision trail, while the school supplies the attendance policy, escalation process, and follow-up for an absence or welfare concern.

Before the school relies on the workflow, a brief rehearsal can clarify responsibilities. Staff can test a normal lesson, a covered lesson, and two occurrences on the same day, then confirm who can mark, view, and correct each register. This checks the configured process without using attendance automation or inferred presence.
